[HR] Assign a Time Bank to an Employee

On the Mobile App:

Sorry, this feature is not available on the mobile app.

 2. Explanation of Available Settings:

French Title:

Enter the French name of the time bank. This title will be visible to users who have selected "French" as their language in their settings.

English Title:

Enter the English name of the time bank. This title will be visible to users who have selected "English" as their language in their settings.

Earning Code:

Enter the earning code used in your payroll service to withdraw hours from the bank.

If you do not enter a value, requests from this time bank will not be transferred to any interface.

Is Active:

Check this box to activate the time bank.

Gestion uniquement : Management Only:

Check this box to prevent employees from using this time bank in a time-off request.

Créditer les heures en réserve : Credit Banked Hours:

Check this box to allow employees to request banked hours from this time bank (such a request will increase the bank balance).

This field is only visible if you have the "Banked Time" module.

Disable Automatic Assignment:

By checking this box, the time bank will not be automatically assigned to the employee upon creation. If needed, you will have to assign it manually.

Minimum Request:

Enter the minimum duration for time-off requests from this bank. Requests below this value will be automatically rejected.

To avoid setting a minimum, leave the field blank.

Cycle Start Date:

This is the start date of your time bank cycle. Choose between January 1st, May 1st, the employee's hire date, or a custom date.

Custom Date:

Enter the custom cycle start date.

This field is only visible if you have selected "Custom Date" in the "Cycle Start Date" field.

Updating the Time Bank with Balances from the Time and Attendance System:

Check this box to manage the time bank balance via Cangaroo Chrono.

This field is only visible if you have Cangaroo Chrono and the interface is active.

Time Bank with Increment:

By checking this box, you enable the automatic increase of the time bank balance. In other words, the balance will gradually and automatically increase throughout the year, according to your chosen configuration.

If this box is not checked: The time bank will not increase automatically. Instead, the total granted amount will be added once per year, as defined in the settings.

Total Granted Amount:

Enter the total number of hours granted by this time bank.

If  "Time Bank with Increment" is checked: The amount entered here will be distributed in equal parts throughout the year, based on the selected accumulation period. You will see the note: "Accumulation calculated based on the total granted amount."

If  "Time Bank with Increment" is checked but no amount is entered: The bank will increase automatically based on the employee's vacation hours, distributed evenly according to the selected accumulation period. You will see the note: "Accumulation calculated based on the vacation percentage."

If  "Time Bank with Increment" is not checked: The total amount entered here will be added once at the start of each cycle, either annually or when the time bank is assigned to an employee.

Accumulation Period:

Weekly: The total amount is divided by 52 and credited at the end of each pay period. This must align with the employee’s payroll calendar.

Biweekly: The total amount is divided by 26 and credited at the end of each pay period. This must align with the employee’s payroll calendar.

Monthly: The total amount is divided by 12 and credited to the time bank on the 1st of each month.

This field is only visible if "Time Bank with Increment" is selected.

Delay Before Accumulation Calculation After Hiring:

The number of days entered here delays the first automatic increase (for an incremental time bank) or the initial deposit of the total amount after the employee’s hire date.

This field is only visible if "Time Bank with Increment" is selected.

Allow Negative Balance:

When this box is checked, a time-off request can result in a negative balance, up to the minimum balance specified later.

Minimum Balance:

Enter the minimum threshold below which the time bank balance cannot go. To have no minimum, leave the field blank.

Carry Over Balance:

Check this box to carry over the remaining balance of the time bank at the end of the cycle start date.

Carry Over to the Same Bank:

Check this box to carry over the remaining balance to the same time bank.

This field is only visible if "Carry Over Balance" is selected.

If this option is not configured and no other bank is set to receive the carried-over balance, the time bank will be reset to zero at the beginning of the cycle. If a total granted amount is defined, it will be added to the time bank according to its configuration (either as a lump sum or the first increment).

Carry Over to Another Bank:

Select the destination time bank where hours should be carried over.

This field is only visible if "Carry Over Balance" is selected and "Carry Over to the Same Bank" is not selected

The remaining balance at the beginning of the cycle will be transferred to this bank. If a total granted amount is defined, it will be added according to its configuration (either as a lump sum or the first increment).

Carry Over Ratio (%):

Enter the percentage of balance to be carried over (between 1% and 100%), whether to the same bank or another one.

This field is only visible if "Carry Over Balance" is selected.

Pro rata :

Check this box to prorate the total granted amount (if no increment is set) based on the employee’s hire date and the time bank cycle end date when assigned

Time Bank in Days:

By checking this box, the time bank will be displayed in days instead of hours. You will need to enter the total granted amount accordingly.

To activate this feature, please contact a product expert.

Time Bank for Monetary Payment:

By checking this box, the time bank will be displayed in monetary value instead of hours.

To activate this feature, please contact a product expert.
